Who We Serve · Physical therapy

Referral. Booked. Treated. Discharged.

A referral comes in on Tuesday, sits until Thursday, and the patient has already started somewhere else.

Referrals worked the same day, plans of care kept on schedule, cancellations filled, and discharged patients who come back when they need you.

The four steps
01 · Work
  1. 01

    Referral

Every referral, from any source, in one place the day it arrives, with the patient called before noon.

  2. 02

    Booked

The evaluation scheduled, intake and history done beforehand, insurance details collected once.

  3. 03

    Treated

The plan of care on the calendar, reminders that keep the visit count on track, and cancellations filled from the waitlist.

  4. 04

    Discharged

Check-ins after discharge, the review ask at the right moment, and a report on referrals in, visits kept, and patients who dropped off.

In Physical therapy

Physical therapy is a visit-count business. The plan says twelve visits; the practice gets paid for the ones that happen. The referral that waits two days, the evaluation that never got scheduled, the patient who stopped coming at visit six: each one is revenue the practice earned and did not collect, and none of it is a clinical problem.

The first fix is the referral. It lands in one place the day it arrives, the patient is called that morning, and the evaluation is on the calendar before the referring office has to ask. The second fix is the plan: reminders that land, a waitlist that fills a cancellation before the hour is lost, and a call when someone misses two in a row.

Records in a practice have rules, and I have built systems that had to meet those rules before. Intake collects what is needed, it is kept where it belongs, and the trail shows who saw what and when. Your documentation system stays your documentation system; this sits around it.

Questions owners ask
Is patient information handled properly?
Yes. Intake collects only what is needed and keeps it where it belongs, with access logged. I have built regulated-record systems before, and the rules shape the design from the first day.
Can it track authorizations and visit counts?
It can keep the count and the dates in front of you and remind the right person before a limit is reached. The clinical and billing decisions stay with your team; the system makes sure nobody finds out at visit thirteen.
Will referring offices notice?
Yes, in the way you want. Their patient is called the same day and scheduled before they have to follow up, which is the thing a referring office remembers when the next referral comes.
